Preparing Your Shelby Arena Data for Church Analytics

Purpose of importing you Shelby Arena data into Church Analytics

Using Church Analytics, you can keep a near-real-time view of generosity reports at arm’s reach. Our system is designed to import data from your ShelbyNext Membership database. You can run this process as frequently as you desire.

 


 

What You Need to Start

You must have a role of Admin in the system, or at least have a role that allows you to Export Data. Talk to your ShelbyNext Membership admin if you have questions.

Once you have everything needed, this process normally takes about 10 minutes.

Preparing your ShelbyNext Membership Data

Creating A New Page

In Shelby Arena, the best way to organize the data we are looking for is through a Module, but first we will need to create a new Page to house the Module.

  1. In the left side bar, click on Pages under the Administration drop down menu
  2. Click on Home under Page Structure
  3. Click on Administration
  4. On the right hand side click Child Pages
  5. Scroll to the bottom of the Child Pages panel and click the Add Page button on the lower right hand corner
  6. Name the page and menu something easy to remember like "Church Analytics Integration"
  7. Add a description if desired
  8. Click Update at the bottom of the window

 


 

Creating the Module and Querying the Data 

  1. Click on Main Content Tab
  2. Click ArenaChMS Administration
  3. Click Type of Module
  4. Scroll until you find and click on Report Grid From Query under the Reporting category
  5. Scroll down to the Query field and paste this text into the field:

    , c.contribution_id AS [Transaction id]
    , p.family_id AS [Family id]
    FROM dbo.ctrb_contribution_fund cf
    INNER JOIN dbo.ctrb_fund f ON f.fund_id = cf.fund_id
    INNER JOIN dbo.ctrb_contribution c ON c.contribution_id = cf.contribution_id
    INNER JOIN dbo.core_lookup ltrans ON ltrans.lookup_id = c.currency_type_luid AND ltrans.organization_id = c.organization_id
    INNER JOIN dbo.core_v_personList p ON p.person_id = c.person_id
    WHERE c.contribution_date > DATEADD(YEAR, -5, GETDATE())
    AND f.gl_revenue_account = '40100'
    ORDER BY c.contribution_date

  6. Click Update
  7. Note: you may need to click Refresh Cache under the account dropdown menu which is a circular button with your initials in it on the top right side of the page
  8. Scroll down on the left side bar until you find the newly created page. (It will show up as whatever you named it) Click on it
  9. Depending on the number of records, this may take a few moments

 


 

Exporting and Saving Your File  

  1. Click the Export button on the bottom right corner
  2. A pop-up window on the bottom with ask what you want to do with the file, click Save As
  3. Name the file and add the extension .csv at the end
  4. Choose a save location that will be easy to remember and click Save

 

Now that you have successfully created your CSV, you can upload it to Church Analytics. Learn more here.
